This Privacy Policy explains how Ferd CRM ("we", "us", or "our") collects, uses, stores, and protects your personal data when you use our customer relationship management platform and related services (the "Service").

Ferd CRM is a Norwegian company and acts as the data controller for all personal data collected and processed through the Service. We are committed to protecting your privacy in accordance with the General Data Protection Regulation (GDPR) and applicable Norwegian data protection law.

Personal data means any information that can be directly or indirectly linked to an identified or identifiable natural person, including but not limited to name, email address, IP address, and usage data.

2. Data We Collect

We collect different categories of personal data depending on how you interact with the Service. We do not sell your personal data to third parties.

Account Data

Information you provide when creating and managing your account:

  • Password (stored as a secure hash, never in plain text)

CRM Data

Data you enter and store within the Service:

  • Contacts and their details

  • Companies and associated information

  • Deals, pipelines, and stages

  • Notes and tasks

  • Emails you store or log in the CRM

Usage Data

Data collected automatically when you use the Service:

  • Login times and session duration

  • Features accessed and used

Payment Data

Payment information related to your subscription:

All payment processing is handled by Stripe. We never store your full credit card number, CVV, or other sensitive payment credentials on our servers.

5. Data Hosting & Storage

Ferd CRM offers multiple hosting regions so your data stays close to your team. When you create your workspace, you select a hosting region and your data remains in that region.

All data is encrypted in transit using TLS 1.3 and at rest using AES-256 encryption. Backups are stored within the same hosting region as your primary data.

6. Data Retention

We retain your data only as long as necessary to provide the Service and comply with our legal obligations:

Active account: Your data is retained for as long as your account remains active.

Cancelled account: Data is retained for 90 days after cancellation to allow reactivation or export, then permanently deleted.

Backups: Backup copies are purged within 30 days following permanent deletion of your data.

Usage logs: Anonymized usage and analytics logs are retained for up to 12 months.

7. Sub-processors

We use the following third-party sub-processors to operate the Service. Each sub-processor is bound by data processing agreements that ensure your data is handled securely and in compliance with GDPR.

8. AI Features & Data

Ferd CRM offers optional AI-powered features, including AI Brief, AI Draft, and Risk Radar. When you use these features, relevant CRM data from your workspace is sent to Anthropic's Claude API for processing.

Data is sent to Anthropic only when you actively trigger an AI feature.

Anthropic does not store your data beyond the duration of the API request.

Your data is not used by Anthropic to train or improve their models.

You can opt out of AI features at any time by simply not using them. No AI processing occurs without your explicit action.

9. Cookies & Tracking

Ferd CRM uses only essential cookies required for the Service to function. We do not use third-party advertising cookies or track you across other websites.

Essential Cookies
  • Session cookie: Keeps you logged in during your browsing session.

  • CSRF token: Protects against cross-site request forgery attacks.

  • Preferences: Remembers your settings such as theme and language.

We use Fathom Analytics for website analytics, which is privacy-friendly by design. Fathom does not use cookies, does not collect personal data, and is fully GDPR-compliant. No third-party advertising cookies are used anywhere in the Service.

10. Your Rights (GDPR)

11. Data Export & Portability

We believe your data belongs to you. You can export your CRM data at any time using the tools built into the Service:

CSV export: Export your contacts, companies, deals, and other CRM data in CSV format at any time from your account settings.

API access: Use our API for programmatic data export and integration with other systems.

Post-cancellation window: After cancelling your subscription, you have a 90-day window to log in and export your data before permanent deletion.

12. International Transfers

Some of our sub-processors are located in the United States. When your personal data is transferred outside the European Economic Area (EEA), we ensure adequate protection through the following mechanisms:

EU Standard Contractual Clauses (SCCs): We use EU-approved Standard Contractual Clauses for transfers of personal data to sub-processors in the United States.

Adequacy decision: Norway is recognized by the EU as providing an adequate level of data protection under the EEA Agreement.

13. Children

Ferd CRM is a business tool not intended for use by individuals under the age of 18. We do not knowingly collect personal data from children. If we become aware that we have collected personal data from a person under 18, we will take steps to delete that information promptly.

1. Acceptance of Terms

By accessing, registering for, or using the Ferd CRM service ("Service"), you agree to be bound by these Terms of Service ("Terms"), our Privacy Policy, and any additional terms referenced herein. These Terms constitute a legally binding agreement between you and Ferd CRM ("Ferd," "we," "us," or "our").

  • • You must be at least 18 years of age to use the Service

  • • If you are using the Service on behalf of an organization, you represent and warrant that you have the authority to bind that organization to these Terms

  • • If you do not agree to all of these Terms, you must not access or use the Service

  • • Your continued use of the Service after any modifications to these Terms constitutes acceptance of the updated Terms

2. Description of Service

Ferd CRM is a cloud-based Software-as-a-Service (SaaS) customer relationship management platform designed for businesses of all sizes. The Service includes, but is not limited to, the following capabilities:

  • Contact and company management with custom fields and segmentation

  • Deal tracking and visual sales pipeline management

  • Task management, reminders, and activity scheduling

  • Integrated email communication and tracking

  • AI-powered features for summaries, suggestions, and content generation

  • RESTful API for third-party integrations and custom workflows

  • Automations and email sequences for outreach and follow-ups

  • Analytics, reporting, and dashboard insights

We reserve the right to modify, update, or discontinue features of the Service at any time, with reasonable notice for material changes.

3. Account Registration & Security
3.1 Registration Requirements
  • • You must provide accurate, current, and complete information during registration

  • • You are responsible for keeping your account information up to date at all times

  • • You must be at least 18 years of age to create an account

  • • Each individual may only maintain one account; duplicate accounts may be suspended

3.2 Account Security
  • • You are solely responsible for maintaining the confidentiality of your password and account credentials

  • • We strongly recommend enabling two-factor authentication (2FA) for enhanced account security

  • • You must notify us immediately at support@ferdcrm.com if you suspect any unauthorized access or security breach

  • • You are responsible for all activity that occurs under your account, whether authorized or not

  • • Ferd CRM is not liable for any loss or damage arising from your failure to protect your account credentials

4. Subscription, Billing & Pricing
4.1 Free Trial
  • • New users receive a 14-day free trial with full access to all features

  • • No credit card is required to start a trial

  • • At the end of the trial period, you must subscribe to a paid plan to continue using the Service

4.2 Pricing
  • • Monthly plan: $28 per user per month, billed monthly

  • • Annual plan: $280 per user per year, billed annually (equivalent to approximately $23.33/user/month)

  • • Billing is per-user quantity based; your invoice reflects the number of active users in your organization

4.3 Billing & Renewals
  • • All payments are processed securely through Stripe. Ferd CRM does not store your full payment card details

  • • Subscriptions automatically renew at the end of each billing cycle unless cancelled beforehand

  • • You may cancel at any time; access continues until the end of the current billing period

  • • We offer a 30-day money-back guarantee for new subscribers who are not satisfied with the Service

4.4 Price Changes
  • • We reserve the right to modify pricing with at least 30 days' written notice before the change takes effect

  • • Price changes will apply at the start of your next billing cycle following the notice period

  • • If you do not agree to a price change, you may cancel your subscription before the new pricing takes effect

5. Data Ownership & Intellectual Property
5.1 Your Data
  • • You retain full ownership of all data you enter into the Service, including contacts, companies, deals, notes, emails, files, and any other customer data ("Customer Data")

  • • You grant Ferd CRM a limited, non-exclusive license to process your Customer Data solely for the purpose of providing and improving the Service

  • • You may export your Customer Data at any time during your active subscription

5.2 Our Intellectual Property
  • • Ferd CRM owns all rights, title, and interest in the Service, including its software, code, design, branding, trademarks, and documentation

  • • We grant you a non-exclusive, non-transferable, revocable license to use the Service for the duration of your subscription

  • • You may not reverse engineer, decompile, disassemble, or attempt to derive the source code of the Service

  • • You may not sublicense, resell, or redistribute access to the Service without our prior written consent

6. Data Protection & Privacy
6.1 GDPR Compliance

Ferd CRM is fully compliant with the General Data Protection Regulation (GDPR). We act as a data processor on your behalf when handling Customer Data, and as a data controller for account and usage data. A Data Processing Agreement (DPA) is available upon request for customers who require one.

6.2 Data We Collect
  • • Account information: name, email address, organization details, billing information

  • • Customer Data: contacts, companies, deals, notes, emails, tasks, and files you store in the Service

  • • Usage data: feature usage, login activity, performance metrics, and error reports

  • • Cookies and similar technologies: session management, preferences, and privacy-friendly analytics

6.3 Data Usage Commitments
  • • We will never sell your personal information or Customer Data to third parties

  • • We do not use your Customer Data for advertising or marketing purposes

  • • You have the right to access, rectify, port, and delete your personal data in accordance with applicable law

Your data is hosted on secure, dedicated infrastructure. Depending on your account region, your data is stored in one of the following locations:

To provide the Service, we engage the following third-party sub-processors who may process your data in accordance with their respective privacy policies and our Data Processing Agreement:

We will notify you of any changes to our sub-processor list with at least 30 days' notice. You may object to a new sub-processor by contacting us within that notice period.

9. Service Level & Availability
  • • We target 99.9% uptime availability for the Service, measured on a monthly basis

  • • Scheduled maintenance windows will be communicated in advance via email or in-app notification, and will be performed during off-peak hours whenever possible

  • • We do not guarantee that the Service will be uninterrupted, error-free, or available at all times

  • • In the event of extended unplanned downtime exceeding 0.1% in a calendar month, affected customers may request a service credit applied to their next billing cycle

  • • Service credits are the sole and exclusive remedy for any downtime or unavailability of the Service

10. API Terms

Ferd CRM provides a RESTful API that allows you to integrate the Service with third-party applications. Use of the API is subject to the following terms:

  • • API access is authenticated via personal access tokens; you are responsible for keeping your tokens secure

  • • Rate limits are enforced at 60 requests per minute per user; exceeding this limit may result in temporary throttling

  • • You must not use the API for scraping, data mining, or any purpose that degrades the Service for other users

  • • We reserve the right to revoke API access at any time if we determine that usage violates these Terms or negatively impacts the Service

  • • API features and endpoints may change over time; we will provide reasonable notice for breaking changes

11. AI Features Disclaimer

Ferd CRM incorporates artificial intelligence features powered by Anthropic's Claude. By using AI features, you acknowledge and agree to the following:

  • • AI-generated content (including summaries, suggestions, drafted emails, and recommendations) is provided for informational purposes only and is not guaranteed to be accurate, complete, or error-free

  • • You are solely responsible for reviewing, verifying, and approving any AI-generated output before relying on it or taking action based on it

  • • When you use AI features, relevant data may be sent to Anthropic for processing; this data is handled in accordance with Anthropic's data usage policies and is not used to train AI models

  • • Ferd CRM is not liable for any decisions made or actions taken based on AI-generated content

  • • AI features may be updated, modified, or removed at any time as the underlying technology evolves

12. Usage Rights & Restrictions
12.1 Permitted Use
  • • Lawful business purposes including customer relationship management, sales tracking, and team collaboration

  • • Integration with authorized third-party applications via the API

  • • Storing and managing business contacts, deals, and communications

12.2 Prohibited Use

You agree not to:

  • • Use the Service for any illegal, fraudulent, or unauthorized purpose

  • • Attempt to gain unauthorized access to any part of the Service, other accounts, or related systems

  • • Scrape, crawl, or use automated tools to extract data from the Service beyond authorized API usage

  • • Upload, transmit, or distribute malware, viruses, or other malicious code

  • • Send unsolicited bulk communications (spam) through the Service

  • • Resell, sublicense, or redistribute access to the Service without written authorization

  • • Exceed or attempt to circumvent API rate limits or other usage restrictions

  • • Interfere with or disrupt the integrity or performance of the Service

13. Indemnification

You agree to indemnify, defend, and hold harmless Ferd CRM, its officers, directors, employees, agents, and affiliates from and against any and all claims, damages, losses, liabilities, costs, and expenses (including reasonable legal fees) arising out of or related to:

  • • Your use of the Service or any activity under your account

  • • Your Customer Data or any content you upload, store, or transmit through the Service

  • • Your violation of these Terms or any applicable law or regulation

  • • Any third-party claim that your use of the Service infringes on their rights

14. Limitation of Liability
  • • To the maximum extent permitted by applicable law, Ferd CRM's total aggregate liability for any claims arising out of or relating to these Terms or the Service shall not exceed the total fees paid by you during the twelve (12) months immediately preceding the event giving rise to the claim

  • • In no event shall Ferd CRM be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, revenue, data, business opportunities, or goodwill

  • • The limitations above do not apply to liability arising from fraud, gross negligence, willful misconduct, or any liability that cannot be excluded or limited under applicable law

  • • The Service is provided "as is" and "as available" without warranties of any kind, whether express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, and non-infringement

15. Termination
15.1 Termination by You
  • • You may cancel your subscription at any time from your account settings

  • • Upon cancellation, you will retain access to the Service until the end of your current billing period

  • • Refunds are available within the first 30 days of a new subscription under our money-back guarantee

15.2 Termination by Ferd CRM
  • • We reserve the right to suspend or terminate your account immediately if you violate these Terms

  • • We may terminate the Service with 90 days' notice if we discontinue the product entirely

15.3 Data After Termination
  • • Following termination, you will have 90 days to export your Customer Data

  • • After the 90-day export period, we will permanently delete your Customer Data from our systems, including backups, within a reasonable timeframe

  • • We may retain anonymized, aggregated data that does not identify you or your customers

16. Changes to Terms
  • • We reserve the right to modify these Terms at any time

  • • Material changes will be communicated with at least 30 days' notice via email, in-app notification, or prominent notice on our website

  • • Your continued use of the Service after the effective date of any changes constitutes your acceptance of the updated Terms

  • • If you do not agree to the updated Terms, you must stop using the Service and cancel your subscription before the changes take effect

  • • We will maintain an archive of previous versions of these Terms for reference

17. Governing Law & Dispute Resolution
  • • These Terms are governed by and construed in accordance with the laws of the Kingdom of Norway, without regard to its conflict of law provisions

  • • Any disputes arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of Oslo, Norway

  • • Before initiating formal legal proceedings, the parties agree to attempt to resolve disputes amicably through good-faith negotiation

  • • Nothing in these Terms shall limit or exclude any rights you may have as a consumer under applicable EU consumer protection laws, including the right to bring claims in your country of residence

  • • If any provision of these Terms is found to be unenforceable, the remaining provisions shall continue in full force and effect
